QuickBooks integration
Buildertrend and QuickBooks bookkeeping
If your jobs, bills and invoices start in Buildertrend and end up in QuickBooks, I make sure what lands in QuickBooks is right. That includes cost codes, projects, and paid status. I work in QuickBooks. I do not run Buildertrend for you.
How Buildertrend connects to QuickBooks
Buildertrend connects to QuickBooks Online and Intuit Enterprise Suite (IES), and also to QuickBooks Desktop. Buildertrend says its QuickBooks Online and IES integrations offer more functionality and automation than the Desktop one.
The part that trips people up is cost codes. Buildertrend says its cost codes have to be linked to the matching products and services in QuickBooks before invoices and bills can sync correctly.
What I check in QuickBooks
- Every Buildertrend cost code has a matching QuickBooks product or service, pointed at the right income or expense account
- Each job shows up in QuickBooks as one customer and one project, with no duplicates
- Bills, invoices and time land in the right accounts, and classes or locations are added where you report by them
- Paid and unpaid status matches what your bank shows
- The accounting method (cash or accrual) matches in both places
Common questions about Buildertrend and QuickBooks
Why are my Buildertrend invoices and bills not syncing to QuickBooks?
A common cause is a cost code with no matching product or service in QuickBooks. Buildertrend's own help pages say the cost codes have to be linked to products and services for financial data to sync. I check every code against QuickBooks and fix the ones that are missing or pointed at the wrong account.
Does Buildertrend sync classes and locations to QuickBooks?
No. Buildertrend's FAQ says it does not link to classes or locations, but you can add them in QuickBooks after a bill, invoice or time entry is sent over. If you report by class or location, that needs a routine, and I can set one up.
Buildertrend says the sync worked. Where are my jobs in QuickBooks?
In QuickBooks Online, jobs are called projects, so look in the Projects tab. An Intuit support answer on a community thread pointed a Buildertrend user to exactly that place.
Why did a bill I changed in Buildertrend not change in QuickBooks?
If a bill was edited in QuickBooks after it was sent, Buildertrend treats the QuickBooks version as the newest one and does not send later changes from Buildertrend. Pick one place to make edits, and I will tell you which one fits how your office works.
Why didn't a Buildertrend online payment fee show up in QuickBooks?
Buildertrend lets you pick an expense account for online transaction fees in its QuickBooks settings. When a fee is missing or lands in the wrong account, I check that setting and the fee entries in QuickBooks. A Buildertrend user asked this same question on Intuit's community.
I changed my accounting method in QuickBooks. Why does Buildertrend still show the old one?
Buildertrend picks up the accounting method when you first connect. If you change it in QuickBooks afterward, Buildertrend has a Sync from QuickBooks button to catch up.
Why is nothing syncing with QuickBooks Desktop?
Two things have to happen. Buildertrend has to request a sync, and the Web Connector has to run on the computer with QuickBooks. Buildertrend also notes that Intuit does not offer the Web Connector for Mac. Buildertrend says its Desktop integration is in maintenance, with new accounting features being built for QuickBooks Online and IES.
We used CoConstruct. Is that the same thing?
Buildertrend acquired CoConstruct in February 2021. If you still use CoConstruct, tell me on the call and I will look at how it is set up before we start.

Book a discovery call and tell me what you are seeing. We will talk through where your books stand and what would help.
