Knowify and QuickBooks bookkeeping

If you manage jobs and job costs in Knowify and keep your books in QuickBooks, I check that what Knowify sends lands in the right place, and I clean up the QuickBooks side when it does not. I work in QuickBooks. I do not run Knowify for you.

How Knowify connects to QuickBooks

Works withQuickBooks Online, Intuit Enterprise Suite, Desktop
How it syncsTwo-way with QuickBooks Online, per Knowify
A common snagDefault accounts and job setup

Knowify works with QuickBooks Online and QuickBooks Desktop. Knowify describes its QuickBooks Online sync as two-way, and its QuickBooks Desktop and Enterprise sync as push-to-sync, meaning you send the data on demand.

Knowify sends items to QuickBooks automatically when you finalize an invoice or bill, or create a client, vendor, product or service. Data coming from QuickBooks into Knowify does not work the same way. You pull it in.

What I check in QuickBooks

  • Knowify's default income, expense and catalog accounts point at the right places in QuickBooks
  • Jobs sync the way you intended, as QuickBooks projects or as sub-customers
  • Classes and locations are used consistently if you report by them
  • Tax on Knowify invoices matches tax on the QuickBooks invoices
  • Clients and vendors are not duplicated, and none are inactive when Knowify needs them

Common questions about Knowify and QuickBooks

Why are my Knowify invoices not syncing to QuickBooks?

Knowify has a help article on exactly this. One cause it describes is a client that is inactive, or no longer exists, in QuickBooks. I find the cause and fix the QuickBooks side.

What do Knowify's QuickBooks sync errors mean?

Knowify's help center lists the common ones: a text field too long for QuickBooks, a product or service that was deleted, a QuickBooks connection that has expired, and a duplicate invoice number. Each has a different cause, so I look at which one you actually have.

What are Knowify's QuickBooks defaults, and why do they matter?

Knowify has you set default income, expense and catalog accounts, and says transactions sync to QuickBooks based on them. A wrong default means every transaction goes to the wrong account, which is why I check these first.

Should my jobs be QuickBooks projects or sub-customers?

Knowify supports both. It says it syncs directly with the Project object in QuickBooks Online. It describes the plan requirement differently on different pages (Advanced only on one, Plus and Advanced on another), so confirm with Knowify before you choose a QuickBooks plan around it.

Why do the tax amounts on my invoices differ between Knowify and QuickBooks?

Knowify has a help article on avoiding tax discrepancies when syncing invoices. I make sure the tax setup matches in both places before it causes invoice differences.

Does Knowify work with Intuit Enterprise Suite?

Yes. Knowify says its Intuit Enterprise Suite integration has everything its QuickBooks Online integration has and more, and Intuit's developer blog has a post about it.

Does Knowify work with QuickBooks Enterprise?

Yes, according to Knowify, as push-to-sync rather than the real-time sync it describes for QuickBooks Online.
