QuickBooks integration
Procore and QuickBooks bookkeeping
If you manage projects and financials in Procore and keep your books in QuickBooks, I check that what Procore sends lands right, and I clean up the QuickBooks side. I work in QuickBooks. I do not administer Procore for you.
How Procore connects to QuickBooks
Procore has its own QuickBooks Online connector. Procore announced it in February 2023, first for the US, and its support pages now say QuickBooks Online is supported in all regions.
Procore lists what the connector requires: a company administrator in Procore, a compatible QuickBooks Online edition, Procore's financial management tools, and QuickBooks Online Projects. Procore says sub-customers must be converted to Projects to be used with the integration.
What I check in QuickBooks
- QuickBooks jobs are real Projects, not sub-customers, so the connector can use them
- Vendors in Procore and QuickBooks are linked, with no duplicates
- Owner invoices and subcontractor invoices post to the right accounts
- Job cost transactions that come back from QuickBooks match your books
- The right people hold the accounting approver role in Procore
Common questions about Procore and QuickBooks
Why can't Procore see my jobs in QuickBooks?
Procore says the connector works with QuickBooks Online Projects, and that sub-customers have to be converted to Projects first. If your jobs are set up as sub-customers, I convert them correctly in QuickBooks.
Can I connect more than one QuickBooks company to Procore?
Procore says the QuickBooks Online integration is limited to one QuickBooks company per Procore site. If you have several companies under Intuit Enterprise Suite, each one needs its own Procore site and connector.
Who is allowed to push items from Procore to QuickBooks?
Procore calls this an accounting approver: a user with standard or admin access to ERP integrations who has also been granted the privilege to push to accounting. If nothing is moving, check this first.
Which Procore connector do I have?
Procore built its own QuickBooks Online connector, but older Intuit Community threads show contractors using connectors from Procore's App Marketplace. The troubleshooting differs, so I ask which one you use before changing anything.
Do I need Procore's financial tools for this?
Procore lists its financial management tools as a requirement, including the invoicing tool if you want invoice data to sync.
