ServiceTitan and QuickBooks bookkeeping

If ServiceTitan runs your jobs and invoices and QuickBooks holds your books, I check what gets exported and fix what lands wrong. I work in QuickBooks. I do not administer ServiceTitan for you.

How ServiceTitan connects to QuickBooks

Works withQuickBooks Online and Desktop
How it syncsBatch exports from ServiceTitan
A common snagItems or accounts mapped to the wrong place

ServiceTitan exports to both QuickBooks Online and QuickBooks Desktop. It sends invoices in batches. ServiceTitan describes a batch as a set of invoices that have been audited and are ready to post.

When an export fails, where you see the error depends on the version. In QuickBooks Online, ServiceTitan says export errors appear as a pop-up or on the Pending Export report. In Desktop, they appear on the Export Error report in ServiceTitan.

What I check in QuickBooks

  • Items and business units map to the right income, expense and tax accounts
  • General ledger account names match in both systems
  • Invoice numbers are unique, with no collisions with older QuickBooks invoices
  • Vendors are active in both systems so bills actually arrive
  • Batches that exported with errors are fully posted, with nothing half-sent

Common questions about ServiceTitan and QuickBooks

Why does ServiceTitan say "Export Error: Sync failed"?

For QuickBooks Desktop, ServiceTitan says this usually means it could not reach the QuickBooks file it was set up with. The Web Connector needs to be running on the same computer as the open QuickBooks file, and the file path on the mapping page needs to match.

What does "You cannot associate an item with Sales Tax Payable, Undeposited Funds, accounts receivable, accounts payable" mean?

That is a QuickBooks error, and ServiceTitan lists it among its common QuickBooks Online fixes. It means an item is pointed at the wrong kind of account. ServiceTitan's rule of thumb is an income account for something you sell and an expense account for something you buy.

Why am I getting a duplicate document number error?

ServiceTitan says this appears when an invoice with that number already exists in QuickBooks. I find the original and fix the numbering.

A bill shows as exported, but I cannot find it in QuickBooks. Why?

ServiceTitan says to check that the vendor is active in both ServiceTitan and QuickBooks.

The export failed once. Should I just try again?

Sometimes. ServiceTitan notes that QuickBooks will occasionally reject information on the first export or Web Connector run, so a retry is worth one attempt. If the same error comes back, the cause is in the setup, and I trace it.

Do the account names need to match between ServiceTitan and QuickBooks?

For the Desktop integration, ServiceTitan says the general ledger account names should match. A mismatch is a common reason accounts will not map.

Do returns and inventory adjustments export to QuickBooks Online?

No. ServiceTitan says return transactions and inventory adjustments do not export to QuickBooks Online. You batch them, bypass them in ServiceTitan, and create them by hand in QuickBooks. This is a common reason inventory and sales do not tie out.

Do ServiceTitan business units come over as classes?

Not on bills. ServiceTitan says business units on bills do not export to QuickBooks Online as classes. If you report by class, I set up how those costs get tagged.

Does ServiceTitan work with Intuit Enterprise Suite?

Yes. ServiceTitan says it integrates with Intuit Enterprise Suite through its QuickBooks Online integration.
