QuickBooks integration
Jobber and QuickBooks bookkeeping
If you run jobs and invoices in Jobber and keep your books in QuickBooks, I check that what Jobber sends over lands cleanly, and I fix the books when it does not. I work in QuickBooks. I do not run Jobber for you.
How Jobber connects to QuickBooks
Jobber syncs with QuickBooks Online only. Jobber says there is no sync with QuickBooks Desktop, though you can import a client list from Desktop by file. The sync is available on select Jobber plans, and one Jobber account can connect to only one QuickBooks company at a time.
Jobber has a newer QuickBooks Online integration that is being rolled out to select accounts. After a business moves to it, Jobber says the sync is one-way, from Jobber to QuickBooks, in real time. Paid status on invoices no longer syncs back to Jobber, and you cannot go back to the old integration.
What I check in QuickBooks
- No duplicate customers, and each client matches one customer in QuickBooks
- Jobber products and services line up with QuickBooks items and income accounts
- Sales tax rates have matching names and amounts in both places
- Invoice totals and payments in QuickBooks match Jobber, including payments that cover more than one invoice
- Warnings Jobber flags (a changed or shortened field, a substituted tax rate) are reviewed, not ignored
Common questions about Jobber and QuickBooks
Why does Jobber say a client already exists in QuickBooks?
Two clients with the same name cannot both sync. Jobber's help pages suggest deleting the duplicate that has no sync icon, or temporarily renaming one (for example, adding a number) so the sync can run. I decide which record to keep so history is not lost.
What does "a product or service with this name already exists" mean?
The same item name is already in QuickBooks. Jobber says to rename the product or service in Jobber or in QuickBooks. I pick the version that keeps your reports clean.
What is the difference between a Jobber sync error and a warning?
Jobber says an error is something stopping an item from syncing, and it has to be fixed before the item can sync. A warning means the item did sync, but something was changed along the way, such as a field that was cut off to fit QuickBooks' character limit.
Does Jobber work with QuickBooks Desktop?
No. Jobber says its integration is with QuickBooks Online only. A one-time client import from Desktop is possible, but it is not an ongoing sync.
Why do my payments not match after the sync?
In Jobber's older integration, one payment covering several invoices does not sync. Jobber says its newer integration handles those, or they can be matched by hand in QuickBooks. I check that bank deposits, payments and invoices tie out either way.
Why am I getting a sales tax sync error?
Jobber's help pages describe tax rates that have different names in Jobber and QuickBooks, for example Tax in one and Sales Tax in the other. I make the tax setup match so invoices stop coming over with a substituted rate.
Why are my Jobber deposits showing up twice in QuickBooks?
An Intuit community thread describes remote-deposited checks recorded in Jobber and then duplicated in QuickBooks, which had to be deleted by hand. I compare the bank feed to what Jobber synced, so a deposit is counted once.
Jobber is creating duplicate clients and properties. Is that normal?
It is a known frustration. Jobber users have posted about it in Jobber's own community, including in 2026. Cleaning up duplicates in QuickBooks follows Intuit's merge steps, and sub-customers have to be handled first, which is why I do it carefully.
